Media AI settings

Enable AI tagging, auto-analyze policy, tag review mode, and monthly spend cap.

Configure AI media features, automatic analysis for new uploads, tag review mode, and monthly AI spend limits for your church.

Quick start

  1. Open SettingsMedia AI (/settings/media-ai). Church admins only.
  2. Turn on Use AI to organize and search media.
  3. Optionally enable Analyze new uploads automatically.
  4. Choose Tag review mode (Off, Sensitive, or All).
  5. Click Save Media AI settings.

You should see a success toast and updated toggle states.

What Media AI does

When enabled, WorshipDeck can send images and short video samples to the configured AI provider to:

  • Suggest tags for media files
  • Improve search across your media library
  • Help operators find assets faster during presentation building

Media AI is church-wide — it affects all media analysis for your organization.

Use AI to organize and search media

This master toggle enables AI features for your church.

When off:

  • New uploads are not analyzed automatically
  • Semantic search does not use AI metadata
  • Analyze new uploads automatically is disabled and cannot be turned on

A warning appears: Media AI is turned off for this church.

Turn this on before configuring the options below.

Analyze new uploads automatically

When on (and AI is enabled), WorshipDeck analyzes new images and videos in the background after upload.

When off, you can still trigger analysis manually on individual files in the media library (when AI is enabled).

Tag review mode controls what happens after analysis finishes — whether tags are applied automatically or wait for manual approval.

Use automatic analysis for churches that want hands-off tagging. Turn it off if you prefer to review uploads before spending AI credits.

Tag review mode

Choose how AI-suggested tags are finalized after analysis completes.

OffTags are applied automatically. Media badges show Analyzed. Best for hands-off workflows.
SensitiveTags auto-apply unless the image or video contains people or visible text — those items show Needs review until you save or reject.
AllEvery analysis waits for manual Save review before tags are finalized.

In the media library:

  • Analyzed badge — analysis is complete and tags are searchable
  • Needs review badge — open the asset and use Save review or Reject

When review mode is Off, the Include unreviewed analysis search filter is hidden because nothing should remain in review after analysis.

Media AI consumption counts toward church usage meters. Monitor spend on:

Tips

  • Start with AI enabled, tag review Off, and auto-analyze off — run manual analysis on a few test images first.
  • Switch to Sensitive if your church wants automatic tagging but needs a human check when people or visible text appear.
  • Coordinate with whoever manages Billing before raising limits.
  • Disabling AI does not delete existing tags — it stops new analysis.

[!tip] If volunteers upload hundreds of photos after an event, temporarily turn off auto-analyze while the batch is being reviewed.

Troubleshooting

Auto-analyze toggle is disabled

  • Turn on Use AI to organize and search media first.

Settings did not save

  • Confirm you are a church Admin.
  • Check for an error toast and retry Save Media AI settings.

Analysis stopped mid-month

Everything shows "Needs review"

  • Check Tag review mode — if set to All, every analysis waits for manual review.
  • If set to Sensitive, only items with people or visible text require review.

Tags not searchable

  • Confirm the asset badge shows Analyzed (not Needs review).
  • Wait for background indexing jobs to finish after analysis completes.
  • Confirm AI is enabled and the file type is supported for analysis.

Search still does not find new media

  • Analysis may still be queued — wait for background jobs to finish.
  • Confirm AI is enabled and the file type is supported for analysis.
  • Manual analysis may be required when auto-analyze is off.

I do not see the Media AI tab

  • Only church Admins see Church settings. Ask an admin to change your role under Members.
