Billing and subscription

Manage your plan, payment method, AI credits, usage history, and auto top-up.

Review subscription status, payment method, AI usage and spending history, credits, and automatic top-up. Animate this image and image generation use account credit only.

Quick start

  1. Open Settings → Billing (/settings/billing). Church admins only.
  2. Review Subscription — plan name, status, and renewal or cancel date.
  3. Under Payment method, click Add card or Update card and complete the Stripe form.
  4. In AI usage, check Monthly allowance and Account credit.
  5. Click View usage history to review AI usage and spending by date, type, and activity.
  6. Click Add credit if you need prepaid AI balance.
  7. Optionally enable Automatically add credit when balance drops below threshold.

You should see updated card details and credit balance after successful payment.

Who can manage billing

Only church admins can view subscription status, update payment methods, purchase AI credit, and configure auto top-up. Members see an unauthorized message.

Subscription

The Subscription card shows:

  • Plan — your current WorshipDeck plan name
  • Billing interval — monthly or yearly (when applicable)
  • Status — for example in trial, active, or past due
  • Trial ends — date when a trial converts to paid (trialing churches)
  • Renews on or Cancels on — end of the current billing period

Cancel subscription opens a confirmation dialog. Cancellation takes effect at the end of the current billing period — you keep access until that date.

If cancellation is pending, the button changes to Resume subscription to undo the cancel-at-period-end flag.

Payment method

WorshipDeck uses Stripe for card storage. The Payment method section shows:

  • Card brand and last four digits
  • Expiration month and year
  • No card on file when nothing is saved

Click Add card or Update card to open the Stripe payment form. Click Save card when finished.

A valid card is required before Add credit or auto top-up can charge successfully.

AI usage

The AI usage section has two balance areas:

Monthly allowance

Included with your plan each billing cycle:

  • Remaining — tokens left this period vs total Monthly allowance
  • Progress bar showing consumption
  • Resets on — when the allowance renews

This allowance is consumed first for AI features such as Media AI analysis and Sermon notes AI generation.

Account credit

Prepaid USD balance used after the monthly allowance runs out for most AI features:

  • Positive balance shows in normal text
  • Negative balance (overage) shows in red
  • Click Add credit to purchase more

Some features skip the monthly allowance and charge account credit only: Animate this image in the presentation editor or media library, and Ezra / sermon image generation. Those jobs fail if credit is empty even when monthly allowance remains.

If your subscription is not active, you see Usage balance is unavailable until your subscription is active.

AI usage and spending history

From AI usage, click View usage history to open /settings/billing/usage. This admin-only page shows your church's AI allowance and account-credit activity.

Use Last 7 days, Last 30 days, Last 90 days, or Custom range. For a custom range, set From and To, then click Apply dates. You can also filter by Usage types and Activities.

Totals for selected range summarizes:

  • Tokens used
  • Credit charged
  • Credit purchased
  • Allowance granted

The Usage history list shows date, type, sanitized activity description, user, tokens, and USD amount. It identifies the feature involved without exposing sermon text, slide content, or other church content. Click Load more for older entries in the selected range.

Add account credit

Click Add credit to open the purchase dialog:

  1. Enter an amount between $5 and $100, or pick a preset ($5, $10, $25)
  2. Confirm the card on file
  3. Click Pay $amount
  4. Wait for Processing payment… while the balance updates
  5. Credit added successfully shows your new balance

Credit is charged to the default card on file. Add a card first if the dialog warns Add a card on file before adding credit.

If payment succeeds but the balance lags, refresh the page. Contact support if the charge appears on your statement but credit does not update.

Auto top-up

Enable Automatically add credit when balance drops below threshold to avoid AI interruptions.

When enabled, configure:

  • Top up when credit drops below (USD) — minimum $5
  • Top-up amount (USD) — between $5 and $100
  • Click Save auto top-up

Toggling the switch saves immediately. Threshold and amount changes require Save auto top-up.

If a charge fails, the page shows Last auto top-up failed with the provider message. Update your card and verify limits on Usage & limits.

Billing handles subscription and prepaid credit. Usage pages show consumption against limits without making purchases.

Tips

  • Add a payment method during setup — even trial churches benefit from a card on file for credit top-up.
  • Enable auto top-up before enabling Media AI auto-analyze on large libraries.
  • Review Monthly allowance after your first full billing cycle to calibrate caps.
  • Use View usage history before changing credit or auto top-up settings so you can see which activities drive spending.
  • Set a Media AI monthly spend limit as a second guardrail below billing credit.
  • Use Resume subscription before period end if you cancelled by mistake.

[!warning] Cancelling your subscription stops renewal at period end. Export or confirm access needs before the Cancels on date.

Troubleshooting

Only church admins can manage billing

  • Ask an admin to promote your role under Members, or have an existing admin update billing.

Cannot add credit — no card on file

  • Complete Add card under Payment method first.

Card needs extra verification

  • Stripe may require 3D Secure. Try Update card with a different card or complete verification with your bank.

Status shows past due

  • Update your payment method.
  • Confirm the card has not expired.
  • Contact WorshipDeck support if charges fail repeatedly.

Monthly allowance exhausted but AI still works

  • Account credit covers overage until depleted.
  • Check credit balance and consider Add credit or auto top-up.

Animate this image or image generation failed even with allowance remaining

  • Those features use account credit only. Add credit or enable auto top-up, then try again.

Auto top-up failed

  • Read the failure message on the billing page.
  • Verify the card is valid and has available funds.
  • Lower Media AI spend or church usage overrides if hitting limits.

Cancelled but still have access

  • Access continues until Cancels on date. Click Resume subscription to keep the plan.
