Media library
Upload, organize, search, and manage images, videos, and audio.
Use folders, search, and asset details to keep your church media organized and ready for presentations.
Quick start
- Open Media from the sidebar (
/media). - Click Upload for images, videos, or audio — or drag files onto the page.
- Click New folder to organize assets by event, ministry, or topic.
- Use Search media to find files by name or tag; filter by media type.
- Click an asset to open Media details — rename, add tags, copy a link, or delete.
- Toggle Thumbnail view / Details view in the media grid header.
You should see folders, thumbnails (or detail rows), and optional analysis badges when Media AI is enabled.
Deep dive
Page header
The library shows Media as the page title with:
- Upload — add images, videos, or audio from your computer
- New folder — create a subfolder in the current location
Use the contextual ? next to the title for a short summary and link to this article.
Breadcrumbs and folders
All media is the root (/media). Open a folder to see only assets inside it (/media/{folderId}). The breadcrumb trail shows your path — click any segment to go back.
The Folders section lists subfolders in the current location. Click a folder to open it. Folders must be empty before you can delete them.
Drag an asset card onto a folder tile to move it there.
Search panel
The search card above the grid lets you:

After searching, a status line shows the search mode (keyword, semantic, or hybrid) and how many eligible assets are indexed. If semantic search is unavailable, WorshipDeck falls back to keyword matches.
Use the contextual ? in the search filters row for help with analysis badges and review workflows.
View toggle
Thumbnail view shows image previews and icons for audio and video.
Details view shows file names, types, and metadata in a list-style layout.
Your preference is saved to your user profile.
Asset cards
Each card shows:
- Thumbnail or type icon (audio)
- Display name
- Optional analysis badge — Analyzed, Needs review, Analyzing…, or Failed (see Media AI analysis)
- Selection checkbox when Select mode is on
Click a card to open Media details. Use the ⋮ Media actions menu for rename, move, analyze, and delete.
Selection mode and bulk actions
Click Select to enter selection mode:
- Select all / Deselect all — toggle visible items
- Delete — remove selected files (confirmation required)
- Batch analysis — analyze or cancel analysis for multiple assets (admins when Media AI is enabled)
Exit with Cancel or Clear selection.
Media details
The detail modal shows:
- Preview (image, video player, or audio player)
- Display name and Original filename
- Dimensions, File size, and Duration (video/audio)
- Manual tags and AI analysis panel when applicable
- Copy link — public URL for the asset
- Rename, Move to folder, and Delete
Use previous/next arrows to step through assets in the current view.
Duplicate review
When WorshipDeck detects duplicate uploads, a Duplicate review banner appears at the top of the library.
For each pair you can:

| Replace references | Point presentations at the other copy |
| Replace references and delete this copy | Swap references, then remove the duplicate file |
Batch actions let you resolve many pairs at once. See evidence such as matching file hashes or visual similarity distance.
Media AI off banner
Church admins may see a dismissible banner when Media AI is off (or after uploading an image/video while AI is off). It explains that auto-tagging and semantic search are unavailable. Click Open Media AI settings to configure policy, or Dismiss to hide the banner for this browser.

Using media in presentations
When you insert an image, video, or audio element in the editor, the media picker browses this library. See Insert content for picker behavior.
Tips
- Create folders before a large event upload so volunteers can drop files in the right place.
- Use Current folder only when you know the asset is in a specific subfolder.
- Turn on Unanalyzed only after enabling Media AI to find files that still need a first pass.
- Drag assets between folders instead of opening Move to folder for each file.
- Resolve duplicate warnings early — Replace references keeps presentations pointing at the canonical copy.

Troubleshooting
Cannot delete a folder
- Folders must be empty. Move or delete assets inside first, then delete subfolders.
Upload failed
- Confirm the file type is supported (JPEG, PNG, WebP, GIF for images; common video and audio formats).
- Check your connection and try a smaller file.
Search returns nothing
- Clear filters — Unanalyzed only hides already-analyzed assets.
- Try keyword search if semantic search shows a fallback message.
- Confirm the asset is in the folder when Current folder only is on.
Analysis badge missing
- Media AI may be off for your church — open Media AI settings.
- Audio files appear in the library and search filters but are not analysis-eligible — only images and videos get badges and analyze actions.
Duplicate delete blocked
- The copy may still be referenced in presentations. Use Replace references first, then delete.
