Members and invitations
Invite team members, assign roles and ministries, and manage pending invitations.
Invite people to your church, assign admin or member roles, require ministry assignments, and manage pending invitations.
Quick start
- Open
Settings→ Members (/settings/members). Church admins only. - In Invite a member, enter an Email, choose a Role, and check at least one Ministry.
- Click Send invite.
- To update someone already on the team, change their Role dropdown or ministry checkboxes on their card.
- For pending invites, use Resend or Revoke in the Pending invitations section.
You should see new invites in the pending list, or the member added immediately if they already had a WorshipDeck account.

Who can manage members
Only church admins can invite, change roles, assign ministries, and remove members. Members cannot access this page.
Roles

Promote trusted leaders to Admin sparingly — admins control billing, integrations, and team access.
Ministry assignment requirement
Every member must belong to at least one ministry. This applies to:
- New invitations — you must check at least one ministry before Send invite
- Existing members — unchecking the last ministry shows an error
If you need a new group first, create it under Ministries, then return here.
Invite flow
The invite form collects:
- Email — the address WorshipDeck sends the invitation to
- Role — Member or Admin
- Ministries — one or more checkboxes
If the email already belongs to a WorshipDeck user, they are added directly (Member added toast). Otherwise an invitation email is sent (Invitation sent).
Managing existing members
Each member card shows their name, email, role dropdown, and ministry checkboxes.
- Change Role — saves immediately on selection
- Toggle ministries — saves immediately; at least one must stay checked
- Remove (trash icon) — opens a confirmation dialog; removal is immediate and revokes church access
Pending invitations
When invites are outstanding, a Pending invitations section lists each email and role.
- Resend — sends the invitation email again
- Revoke — cancels the pending invite (confirmation required)
How ministries connect elsewhere
Ministries scope member access and appear in integrations — for example, ministry email audiences and calendar mapping. See Ministries for creating and renaming groups.
Tips
- Create ministries before bulk inviting — every invite needs at least one ministry.
- Give Admin only to people who manage billing, integrations, or team access.
- Resend invites if someone did not receive email — check spam folders first.
- Review ministry assignments when volunteers change teams (youth → worship, etc.).
- Keep at least two admins so one person leaving does not lock the church out of settings.
[!warning] Removing a member revokes their access immediately. They lose access to this church's content right away.
Troubleshooting
"Select at least one ministry" when inviting
- Check at least one ministry checkbox. Create a ministry first if the list is empty.
Cannot remove the last ministry from a member
- Assign a different ministry before unchecking the current one. Every member needs ≥1 ministry.
Invite not arriving
- Click Resend on the pending invitation.
- Confirm the email address is correct.
- Ask the recipient to check spam or promotions folders.
I do not see the Members tab
- Only Admins see Church settings. Ask an admin to promote your role.
Member added but wrong ministries
- Open their card and adjust ministry checkboxes — changes save immediately.
