Media AI analysis
Analyze images and videos, interpret badges, and review AI-suggested tags.
Run per-asset or batch analysis, save or reject reviews, and understand analysis badges in the media library.
Quick start
- Enable Media AI in Settings → Media AI. Church admins only.
- Open Media and analyze an image or video from the ⋮ menu or the batch analysis bar.
- Read badges on thumbnails: Analyzed, Needs review, Analyzing…, or Failed.
- When review is required, open the asset and click Save review or Reject analysis.
- Use Include unreviewed analysis in search when items await review (hidden when tag review mode is Off).
You should see tags become searchable after analysis completes and any required review is saved.
Deep dive
What analysis does
When Media AI is enabled, WorshipDeck sends images and representative video frames to your configured AI provider to suggest:
- Description — short summary of the content
- Tags — searchable keywords applied to the asset
- Organization suggestions — optional display name or folder recommendations (separate from tag review)
Audio files stay in the library and media-type search filters, but they are not analysis-eligible — no badges, analyze menu items, or batch analysis for audio.
Analysis spend counts toward your church's monthly cap. Monitor usage on Usage and limits and Billing.
Analysis badges
Badges appear on asset thumbnails when Media AI is enabled:

Tag review mode
Church-wide Tag review mode is configured in Media AI settings:

In the analysis panel:
- Tags were applied automatically… — review mode allowed auto-complete
- Warnings when review is required because of people, visible text, or policy
Open Save review to accept suggested tags, or Reject analysis to discard them.
Asset analysis panel
Inside Media details, the AI media analysis section shows:
- Pipeline Status (queued, running, ready for review, complete, failed, cancelled)
- Progress percent and pipeline stages while a job runs
- Estimated and actual cost for the run
- For video: a cost estimate confirm before starting or re-analyzing
- Description and Analysis tags fields (editable during review)
- AI suggestion hints for model-proposed values
- Save review / Reject analysis when review is required
- Sampled video frames for video assets
Saving a review finalizes tags and syncs them to the asset's searchable tag list.
Organization suggestions
Separate from tag review, WorshipDeck may suggest a display name, tags, or folder for organization. Use Apply selected or Reject suggestions in the organization section of the detail modal.
These suggestions do not block search indexing the same way tag review does.
Batch analysis
In Select mode, church admins see the batch bar when Media AI is enabled. Select up to 25 eligible images or videos at a time — selecting more disables the actions until you narrow the set.
Batch actions:
- Pause / Resume selected in-progress jobs
- Analyze selected — shows an estimated cost confirm before queueing
- Cancel in-progress jobs
- Delete analysis to remove AI metadata from selected assets
Partial failures are listed after a batch run so you can retry individual items.
Pipeline stages
Background jobs move through technical stages before you see a badge:
- Technical processing — prepare the file for analysis
- Analysis — model generates description and tags
- Embedding — index content for semantic search
- Review — optional human approval depending on tag review mode
- Complete — tags are searchable in the library
Failures can occur at any stage — use Retry analysis or check Usage and limits if spend cap was reached.
Search and reviewed metadata
- Analyzed assets contribute tags and embeddings to search.
- Needs review assets may be excluded unless Include unreviewed analysis is on (when tag review mode is not Off).
- Unanalyzed only filters the folder view to files without completed analysis.
Search mode (keyword, semantic, or hybrid) is shown below the search box after you run a query.
Job notifications
When analysis finishes in Ready for review, you may receive a notification with Open media library. This appears when tag review mode requires input — not for every auto-completed asset.
Tips
- Start with tag review Off and manual analysis on a few test images before enabling auto-analyze.
- Use Sensitive review if you want automatic tagging but a human check when people appear in photos.
- Batch-analyze an entire folder after an event, then filter Unanalyzed only to catch stragglers.
- Reject incorrect analysis rather than saving bad tags — you can Analyze again later.
[!tip] Video analysis costs more than images because multiple frames are sampled. Confirm the cost estimate in the dialog before large video batches.
Troubleshooting
Analyze option is missing or disabled
- Confirm Media AI is on in Media AI settings.
- Per-asset analyze menu items and the batch bar require church admin permissions.
- Audio files are in the library/search but are not analysis-eligible.
Everything shows "Needs review"
- Check Tag review mode — All requires manual review for every asset.
- Sensitive flags items with people or visible text.
Tags not searchable
- Confirm the badge shows Analyzed, not Needs review.
- Save review if the asset is waiting for approval.
- Wait for embedding jobs to finish after analysis completes.
Analysis stopped mid-month
- Check the church's AI credit balance in Billing and subscription, then retry after adding credit if needed.
Analysis failed
- Use Retry analysis from the ⋮ menu.
- Confirm the file is a supported image or video format.
- Check network and provider status; persistent failures may need support.
"Include unreviewed analysis" is missing
- Tag review mode is Off — nothing should remain in review after auto-complete, so the filter is hidden.
Batch analyze did nothing
- Confirm you selected eligible image or video assets (not audio-only).
- Check that Media AI is enabled and you are a church admin.
- Narrow the selection to 25 or fewer assets if the batch limit message appears.
